In this full-time role, we are seeking an organized and detail-oriented Operations/Accounting Support Specialist to join our dynamic team. This role supports critical operations functions and ensures seamless processes across accounting, training, and logistics.
Key Responsibilities
Training Operations Support:
- Assist with maintaining the training schedule, including booking classes, updating calendars, and managing last-minute changes.
- Support class logistics, such as coordinating materials, securing venues, managing rosters, and virtual platform setups.
- Collaborate with instructors and clients to ensure smooth class execution.
- Handle Accounts Payable tasks, including invoice entry, coding, and payment processing.
- Assist with Accounts Receivable, including invoice generation, tracking payments, and following up as needed.
- Assist with bank reconciliations to ensure accuracy in financial records.
- Prepare and distribute quarterly usage reports and billing for online training programs.
Order & Shipping Management:
- Coordinate order processing for domestic and European-based orders, ensuring accuracy and timeliness.
- Provide backup support for last-minute manual and online training orders, including web-based order creation.
- Facilitate European order processing, working closely with regional teams.
Roster Reconciliation:
- Regularly verify and maintain accurate employee and customer rosters to support smooth operations and reporting.
Customer & Team Collaboration:
- Provide front-line customer support, addressing inquiries and routing them as needed.
- Collaborate with the Accounting Manager to streamline financial processes and maintain accuracy.
- Partner with Business Development and Marketing teams to manage scheduling and logistics spillover tasks.
Special Projects & Administrative Tasks:
- Assist team members with special projects and ad hoc tasks that contribute to operational efficiency and improvement.
- Identify opportunities to streamline processes across accounting and operations functions.
Qualifications
- Associate’s degree or higher in Accounting, Business Administration, or a related field.
- 2+ years of experience in operations, administrative support, bookkeeping, or related roles.
- Experience with Accounts Payable, Accounts Receivable, and bank reconciliations.
- Proficiency with order management systems (e.g., Zoho) and office tools like Microsoft Excel and Google Workspace.
- Strong organizational skills with excellent attention to detail and the ability to prioritize tasks effectively.
- Exceptional communication and interpersonal skills, with a customer-focused mindset.
Preferred Skills:
- Experience supporting training programs or class logistics.
- Familiarity with scheduling tools (e.g., Outlook, Google Calendar) and virtual platforms (e.g., Zoom, Teams).
- Ability to work in a hybrid role, balancing accounting and operations responsibilities seamlessly.
